Your building charged a penalty. Here's what to send.

An extra guest, a visitor who stayed overnight, smoking on the balcony: the building charges the unit owner. Fill in two ready-made messages: one to your guest through Airbnb, and one to your condo admin.

1. To your guest, through Airbnb chat

Stay calm and factual. Then ask for the amount through Airbnb's Resolution Center, so the payment stays on Airbnb.

Everything stays on your device: nothing you type is sent to GoTuloy.

Hi [Guest name],

Thank you for staying at [Unit name]. I'm writing about something that happened during your stay.

On [Date], the building administration recorded [what happened, e.g. 6 guests in the unit; the building limit is 4]. As stated in our listing and house rules, the building charges the unit owner for this. The penalty is [₱amount]; I've attached the building's notice.

I'll send a request for this amount through Airbnb's Resolution Center. If anything in the notice looks wrong to you, please reply here and I'll take it up with the building.

Thank you for understanding,
[Your name]

2. To your condo admin

Use it to acknowledge the penalty, ask for a copy of the record, or ask for it to be reconsidered.

Good day, [Admin name or Property Management Office],

I received the penalty notice for [Tower and unit] dated [Date of notice], for [what happened].

Choose one:
I acknowledge the penalty and will settle [₱amount] by [date]. Could you please send a copy of the incident record for my files?

OR

I'd like to ask you to reconsider. [Your reason, e.g. the guests registered at the lobby on arrival and the extra person was a daytime visitor who left at 9 PM.] I've attached [the guest registration email / the guests' confirmation of the house rules].

To prevent this, I've [what you changed, e.g. made the guest limit clearer in my listing and house rules].

Thank you,

Avoid the next one

  • State the building's limits in your listing: guest limit, visitor hours, no smoking. Guests agree to them before booking.
  • Register every guest with the admin before arrival (try our registration letter tool).
  • Get the guest count confirmed. On a GoTuloy page, guests tap "We are 4 guests and have read the house rules", and you keep the dated record for each stay.
  • Keep everything in Airbnb chat, including money requests, so Airbnb can help if there's a dispute.

A dated record that guests read the rules.

Guests confirm the house rules and the guest count on your GoTuloy page, before they reach the lobby.
